How to move PG or hostel rent tracking from Excel to software
In short: clean your resident sheet, import it, review every flagged row, enter opening dues and then run one month of rent alongside your old sheet. Switch fully once the totals match.
1. Clean your sheet
Keep one row per resident with name, phone, room, rent and joining date. Watch for the usual problems: two phone numbers in one cell, a resident listed in two rooms, and notes typed into the name column.
2. Create your rooms
Make sure room names match the sheet exactly, so "101" and "Room 101" do not become two rooms.
3. Import and review
In Celstix, download the resident template or upload your own CSV or Excel file and map the columns. The preview flags anything unclear. Fix those rows yourself rather than letting a tool guess about someone's money.
4. Settle what is owed today
Decide your cut-off date and record any deposits and old dues, so the first month starts from correct numbers.
5. Run one month side by side
Generate the month's rent, record payments as they come, including part payments, and compare the total with your old sheet at month end.
6. Note who collected what
If more than one person collects rent, record the receiver on every payment. This one habit prevents most disputes.
What this does not cover
Celstix records rent you receive. It does not take UPI payments from tenants or give them an app, unless you add the paid payment gateway integration. Reminders go through WhatsApp chats your staff send.
Run it all from one place.
